Privacy policy
Effective October 28, 2026
Scope and contact
This policy covers preservebook.com, the installed PreserveBook web app, and our tools embedded in preserve websites. For privacy questions, email info@sharptechnologiesllc.com or use our contact form. Preserves decide what information to collect about their customers and staff and how to use their operational records. Contact your preserve about its hunting, booking, waiver and recordkeeping practices; contact us about operating the software.
Information collected
Demo inquiries and accounts include contact information, business name and location. Preserves and authorized users may enter customer and staff details, hunt dates and party information, packages and balances, guide assignments, license and tag details, bird records, waivers and signatures, arrival information, notes, incidents and supplier attachments. We also process access permissions, consent records, communication history, audit entries and integration identifiers. Enter only information relevant to preserve operations; do not enter full card numbers, identity documents or unrelated sensitive information in notes or uploads.
Technical information, cookies and local storage
Hosting and service providers may process IP addresses, device/browser information, timestamps, error and security logs. Session cookies support sign-in and embedded staff access. Browser storage and service-worker caches support preferences, installation and supported offline drafts. Clearing device storage can remove local drafts. Private customer links can grant access to the records described by that link; keep them confidential. Preserve websites may use additional cookies under their own policies.
Uses and authorized access
We use information to operate workspaces, respond to inquiries, manage requests and bookings, track packages and payments, prepare records, deliver enabled notices, provide support, maintain backups, troubleshoot and protect the service. Authorized preserve users can view, update and export records according to their roles. PreserveBook does not use preserve customer records for advertising or sell them to data brokers.
Service providers and integrations
Providers supporting the service include Hostinger for hosting/database operations, Cloudflare R2 for encrypted off-site storage and Resend for email. When connected, Stripe processes payments, Twilio handles SMS and Intuit QuickBooks handles accounting integration. We send information needed for the enabled function, such as recipient details and notice content, transaction identifiers for reconciliation, or reviewed accounting entries for export. These providers also handle information under their own privacy policies. Connecting an integration does not automatically enable every notice or feature.
Payments
Card entry and processing take place on Stripe-hosted pages. PreserveBook retains transaction references, amounts, payment/refund status and related booking or subscription records. Our booking and account forms do not request full card numbers or card security codes. Stripe and connected preserves may separately collect business, banking or verification information through their own onboarding.
Email, SMS and mobile consent
Notices depend on preserve settings and recorded preferences or consent. Ask your preserve to update your details or optional notices. Where SMS is enabled, follow message instructions: STOP opts out and START can opt back in through the messaging provider. Mobile opt-in information and consent are not shared with third parties or affiliates for marketing or promotional purposes. Providers may process this information to operate messaging, maintain consent and honor opt-outs. Necessary transactional, security or legally required communications may continue through appropriate channels.
Optional voice input
If you enable voice input, your browser or device speech service converts speech into text for supported app commands. The speech provider may process audio under its own terms and privacy policy. Microphone permission is controlled by your browser/device; the app can be used without it.
Other disclosures
We may disclose relevant information as required by law or legal process, to protect people and the service, investigate fraud/security incidents, or follow instructions from the preserve or authorized record owner. Relevant records may transfer with a business or service ownership change, subject to applicable requirements and notice where required. Preserves may separately submit or disclose exported records to agencies or other parties.
Retention and security
Retention depends on operational purposes, preserve instructions, legal recordkeeping, security, disputes and financial history. Archiving a preserve does not erase its records or cancel provider subscriptions. Backups, audit history and transaction evidence may remain after operational changes; deletion is not immediate across every backup. We use access controls, HTTPS and encrypted private backups to reduce risk, but no service guarantees absolute security. Do not share staff accounts or private links.
Privacy choices and requests
Ask to access, correct or delete information, or raise a privacy concern, through the responsible preserve or info@sharptechnologiesllc.com. Identify the preserve and request type; do not email passwords, full card details or identity documents. We may verify identity/authority and coordinate with the preserve. Applicable law and necessary retained records may limit deletion. Where applicable, privacy rights and appeals will be handled in accordance with the law.
Children and processing location
Staff accounts and direct inquiries are intended for adults. Preserves should collect only needed participant information and obtain required guardian permissions; the service does not provide an independent child account or parental-consent verification process. Contact us if a child submits information directly. The service and providers may process data in the United States and other countries where they operate.
Updates
We will update this page and its effective date as practices change and provide additional notice where required. Review this policy before entering information or enabling an integration.
